This notice explains what information Woodside Forestry Ltd uses when you visit the website, request a quote or become a customer.

We collect only the information we need to answer an enquiry, prepare a quote, carry out agreed work, keep business records and protect the website. We do not sell personal information.

Information we collect

  • Contact details such as your name, email address, phone number and property address or postcode.
  • Enquiry and job details, including the service requested, your messages, quotes, appointments and correspondence with us.
  • Photographs you choose to send of trees, gardens, buildings, access routes or damage relevant to the requested work.
  • Customer and business records needed for agreed work, invoices, payments, insurance matters and legal obligations. The website itself does not keep a separate database of quote submissions.
  • Basic technical and security information created when the site is used, such as IP address, browser information, request time and server logs.

Where the information comes from

Most information comes directly from you through the website, email, telephone or conversations about the work. We may also receive information from someone acting for a property owner, such as a family member, landlord, tenant, managing agent or contractor.

Please do not send personal information about another person unless it is necessary and they know you are sharing it. Avoid including people, vehicle number plates, house numbers or neighbouring property in photographs where they are not needed to explain the work.

Why we use it

Quotes and agreed work

We use enquiry details and photographs to respond, understand the requested work, arrange a visit, prepare a quote and carry out any contract you enter into with us. The lawful basis is taking steps at your request before a contract and performing a contract.

Business administration and safety

We use relevant records to organise work, answer questions, protect our legal rights, prevent misuse of the website and keep the service secure. The lawful basis is our legitimate interests in running and protecting the business, provided those interests do not override your rights.

Records required by law

We keep records where tax, accounting, insurance or other law requires it. The lawful basis is compliance with a legal obligation.

Marketing

If you tick the optional marketing box, we may email occasional information about seasonal tree, hedge and garden services. The lawful basis is your consent. You can withdraw that consent at any time by using the unsubscribe option in a marketing email or contacting us. Refusing marketing does not affect your quote.

Who processes it

We share information only where needed with people working for Woodside and suppliers that provide the website, email and other business systems. For the planned website quote service, those suppliers include Vercel for hosting, Resend for sending the enquiry and attachments, and Microsoft for the Woodside email mailbox. Resend retains sent email data according to the service settings and terms applying to Woodside's account.

We may also share relevant information with professional advisers, insurers, regulators, emergency services or public authorities where this is necessary for a claim, safety matter or legal requirement. We do not sell your information.

Information handled outside the UK

Some technology providers may process information in the United States or other countries. Where UK personal information is sent to a country without UK adequacy regulations, we require an approved transfer safeguard, such as the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses, unless another lawful safeguard applies.

How long we keep it

Quotes that do not become jobs

Enquiry details and photographs are normally deleted within 12 months of the last contact.

Customers and completed work

Contract, invoice and relevant job records are normally kept for up to six years after the work or final payment, unless a longer period is required for a dispute, insurance claim or legal obligation. Unnecessary photographs are removed sooner.

Marketing choices

We keep a record of your choice while we send marketing. We stop sending it when you withdraw consent and keep only the minimum suppression record needed to respect that choice.

Website security records

Technical logs are kept for the short operational periods set by our hosting and security providers, unless they are needed for an active security investigation.

Cookies and website measurement

The site does not currently use non-essential analytics or advertising cookies. If these tools are added, they will not be loaded until you have been given a clear choice where consent is required. We will update this notice and provide a way to change that choice.

Your rights

Depending on the circumstances, you may ask for a copy of your personal information, ask us to correct or delete it, restrict how it is used, object to processing, or receive information you supplied in a portable format. You may withdraw marketing consent at any time. Some rights are limited where we must keep information for a contract, legal duty or legal claim.
